Sync Your Shopify Store to a CRM

There’s a common myth that “integrating systems” involves hiring an expensive developer and spending a weekend troubleshooting API keys.

Maybe in 2016. But in 2026? It should take you less time than brewing a pot of coffee.

If you’ve already picked your CRM (hopefully you’ve read our Top 5 Shopify CRM Comparisons), it’s time to flip the switch. Here is exactly how to bridge the gap between your store and your sales team in 5 minutes flat.

Step 1: The “App Store” Handshake

Most modern CRMs—especially LeadMachine—have a dedicated app in the Shopify App Store. This is the safest and fastest way to sync because it uses a pre-built “bridge.”

  1. Log in to your Shopify Admin.
  2. Go to Apps > Shopify App Store.
  3. Search for your CRM (e.g., “LeadMachine”).
  4. Click Install.

Step 2: Granting Permissions (The Boring Part)

Once you click install, Shopify will ask if you’re okay with the CRM seeing your “Orders,” “Customers,” and “Draft Orders.”

Why this matters: To score leads effectively, the CRM needs to see what people are buying and—more importantly—what they are looking at but not buying. Click Approve and let the data flow.

Step 3: Map Your Data Fields

This is where the magic happens. You need to tell the CRM which Shopify “box” belongs in which CRM “folder.”

  • Standard Sync: Name, Email, and Phone Number.
  • Pro-Growth Sync: Lifetime Spend, Last Order Date, and Customer Tags (like “Wholesale” or “VIP”).

LeadMachine does this automatically, but if you’re using a legacy CRM, you might have to drag and drop these fields manually.

Step 4: The Historical Backfill

A common mistake is only syncing new customers. You want your old data, too! Look for a button that says “Import Historical Data.” This will pull your last 6–12 months of Shopify history into the CRM. Now, when you log into your CRM, you’ll see a full “Who’s Who” of your store’s history.

Step 5: Test the Pipeline

Don’t just trust the green checkmark. Test it.

  1. Go to your Shopify store in a private/incognito window.
  2. Sign up for your own newsletter or create a “Test” customer.
  3. Check your CRM. Did the lead appear in less than 60 seconds?

If yes, you’re officially synced.
